Projects Support Administrator

Warwick • Permanent • Salary up to £25k per annum • 

You will provide direct administrative support to a team of 6 Project Managers who look after Multi-million pound building contracts and are mostly based on site. This is an office based role.

Day to Day duties as a Projects Support Administrator will include the following:

  • Manage the upload of design, review and construction drawings to several web based document management systems including 4Projects and Business Collaborator for approval to set procedure and in turn receiving, recording and distribution all comments/approvals to project team.
  • Maintain filing systems on the company server by saving and superseding drawings to project folders to ensure layouts are always current
  • Distributing drawings by email to Project Managers for sign off according to set procedures and following up until sign off has been complete
  • Management of site team drawings to ensure that they have the latest copy drawings at all times by distributing and logging these including confirmation of receipt to set procedure
  • Raising purchase orders on ‘Cypher’ for materials and formulating subcontract terms/orders to set procedures to send to Subcontractors and Specialists. Saving quotations and orders on server for later review.
  • Administer requests for information and technical submissions from information provided by the Project Managers
  • Organising plant hire for sites to set procedure
  • Raising new project tickets on Cypher and providing hard copy files for paperwork
  • Creation and issue of Operation and Maintenance Manuals either in hard copy, electronic or to web based document systems, working with a third party for content and liaising with Project Managers to ensure information is current and issued according to project timescales
  • Updating Variations for projects on Cypher for Project team
  • Organisation of hard copy filing for project folders and Estimators to ensure information can be found easily
  • Archiving of documentation to set procedure.
  • Any other supportive administrative task to support the engineers such as simple spreadsheets, collating information etc.
  • Answering incoming calls on the overflow from Reception and when Reception is on leave.
  • General filing and ensuring the office is kept tidy
  • Being pro-active in assisting Project Manages wherever possible.

As a Projects Administrator, you will need the following qualities & experience:

  • Good communication and interpersonal skills are important to be able to confidently communicate with both internal and external contacts.
  • You will need good administration skills with a methodical approach and be well organised.
  • Able to write own correspondence and formulate replies.
  • Able to prioritise and multi-task at times.
  • A good team player who will help out where needed as this is a small office and everyone gets stuck in.
  • Good Experience of MS Word, Excel, Outlook and used to dealing with office systems such as databases.
  • Positive, friendly approach.

What’s on offer for the successful Administrator?

  • Salary £22-24K.
  • Hours of work are 8.30 am– 5.00 pm with one hour for lunch, Monday to Friday.
  • Based in office with casual dress on Fridays.
