Office Manager/PA

Redditch • Permanent • Full Time • Salary Up to £28-35k per annum DOE

Our client in Redditch has an exciting opportunity as an Office Manager/PA.  You will be the first point of contact for many, including clients and sub-contractors.  You will be responsible for managing the office and keeping it well maintained. You will work closely with the Directors especially the MD assisting him day to day.  You will have access to Private, confidential, and privileged information and therefore discretion is of paramount importance.

The Office Manager/PA's day-to-day duties are as follows:

  • Telephone directing and visitor welcoming
  • New starters set up, induction and personnel files
  • Upkeep of stock and stationery
  • Management of building maintenance and cleaning, ensuring services are kept up to date
  • Fire regulation attendance to include alarms, lighting and extinguishers
  • Raise purchase orders
  • Dealing with all holidays and sick leave
  • Responsible for postage and receipts
  • Collating and issuing memos
  • Collating and updating staff of weekly whereabouts
  • ISO 9001 quality support
  • Liaising with H&S Consultant and upkeep of training matrix
  • Dealing with internet issues
  • Arranging social and charity events
  • Managing Directors' diary and logistical requirements
  • Monthly admin tasks ie credit card statements/timesheets
  • Liaising with Group and diarise board and Director's meetings
  • Collating quarterly board reports
  • Preparing agendas for meetings
  • Collating minutes and distributing them to all parties

The Successful Office Manager/PA must have the following skills/experience:

  • Excellent communication and interpersonal skills, integrity, respect for confidentiality, sound judgment, and decision-making skills
  • Be efficient, detail and quality-minded, hardworking, flexible, and responsible with a positive working attitude and a willingness to support colleagues
  • Ability to work to deadlines
  • Relevant training and qualifications
  • A full UK driving licence
  • Working knowledge of Windows and fully proficient with Excel & Word
  • Accounting / Purchasing Software (Beneficial but not essential)
