What will be the day-to-day responsibilities for the International Sales Administrator role
You’ll support the international sales team and overseas distributors, ensuring orders are processed accurately and shipped on time around the world. The role combines customer service, order processing, Excel work and logistics coordination.
This is a great role for someone who enjoys working with data and spreadsheets, is confident dealing with customers, and wants to build or develop experience in international shipments.
Key Responsibilities
- Order Processing & Administration
- Process customer orders accurately and check stock availability
- Raise and manage sales orders, invoices, despatch notes and credit notes
- Maintain and update internal spreadsheets (e.g. back orders, key accounts, pricing, stock)
- Check and track payments where required
Customer Service
- Act as a key point of contact for international customers and distributors
- Respond to queries via email and phone in a professional, friendly manner
- Provide updates on order status, delivery dates and any issues or delays
- Build strong relationships with repeat customers
Logistics & International Shipments
- Liaise with warehouses, couriers and freight forwarders to arrange shipments
- Track deliveries and follow up on any delivery issues
- Assist with international shipping documentation (e.g. customs forms, Certificates of Origin)
- Review courier/freight invoices and raise any discrepancies
What skills and experience do I need for the International Sales Administrator role
Must Haves
- Confident using Excel, including formulas and lookup functions (e.g. VLOOKUP/XLOOKUP) – you don’t have to be a data analyst, but you must be comfortable working with spreadsheets every day
- GCSE English Language at Grade C/4 or above (or equivalent)
- Experience working with customers in a professional setting (office/admin, sales support, customer service, etc.)
- Good written and verbal communication skills
- Strong attention to detail and accuracy
- Organised, able to handle multiple tasks and deadlines
- Positive, can-do attitude and a genuine team player
Nice to have but not essential
- A Levels or equivalent education
- Degree in any subject
- Some exposure to international shipments / exports / logistics (e.g. working with couriers, freight forwarders, export documentation, or global customers)
- Experience using ERP/CRM systems
